OUR EDITORIAL TAKE

Where Help Scout makes sense.

Help Scout deserves a trial for email-led operations. Orka is appealing when a smaller shared crew needs unlimited independent projects and multilingual public help without per-site add-ons.

GO A LITTLE DEEPER

The reasoning, in bite-sized chapters.

Open the questions that matter to your team. The full analysis is here whenever you want it.

01

Look beyond the chat bubble.

+

Help Scout is especially relevant when email conversations are a substantial part of your work. Its channel documentation connects email, Beacon chat and social conversations to the support inbox. If your team already relies on that process, evaluate the steps around the reply as carefully as the widget on your website.

Orka’s emphasis is a shared support home for the same people across several products. An app question, a store question and a documentation request can remain identifiable by project. Neither approach automatically replaces the other. List where requests arrive, how you assign them and how a teammate finds previous context.

A migration should improve a specific part of that daily work, not merely produce a cleaner screenshot.

02

Docs and Beacon are real reasons to stay.

+

Help Scout’s Docs publishes a searchable knowledge base with branding options. Beacon brings those articles into the website experience, and the knowledge can support AI answers. Help Scout also provides article reports and information about searches that did not find an answer. If your team uses this feedback to improve documentation, include it in the decision.

Orka includes its public help center and custom domain from Free, with Markdown, collections, translations and widget search. To compare the maintenance workflow, pick an article with a screenshot and a link to another policy. Change the underlying rule, revise the article and inspect the public result.

Then have a teammate who did not write it answer a related question. This exercise tells you more than simply checking whether both tools have a knowledge-base icon.

03

Distinguish writing assistance from automatic answers.

+

Help Scout offers AI assistance for writing and an AI Answers product billed per resolution. Its explanation of resolution billing excludes conversations where the visitor still needs more help under the documented rules. People can escalate from the automated exchange, and teams can inspect the conversation.

Those conditions matter when estimating a month’s usage.

Orka can also keep a person in control of a suggested draft or let Orky answer from connected knowledge. A useful evaluation separates those two jobs. First measure whether the draft saves editing time; then test whether an automatic answer handles an exception safely.

Review quality and cost together. Paying for a resolved conversation and paying for model tokens are different commercial models, not interchangeable labels for a message.

04

Test languages in the actual plan you would buy.

+

Help Scout documents automatic, two-way Beacon chat translation on Pro. That is stronger evidence than assuming its AI writing tools provide the same experience on every tier. Docs also has AI-assisted editing and translation tools, which should be evaluated separately from translating a live conversation.

Orka includes two-way chat translation on Pro and Max and supports a multilingual help center. Try an incoming question in a language your team does not speak, read the original alongside the translated text and send a reply back. Check technical terms, names and links rather than judging only the greeting.

If translation is a core requirement, use the price of the plan that includes the required workflow in your final comparison.

05

Start the migration with the public help-center link.

+

Help Scout is one of Orka’s supported help-center import sources. During account creation or in the Help center tab, provide the public Docs URL. Orka imports the articles automatically. You can then review their organization, check links and prepare the new help center before switching your public entry points.

Keep the scope clear: this is an article import, not a claim that inbox history, every workflow or a connected social account migrates automatically. Preserve any history you need, test a handful of real questions and confirm the teammate permissions on the first project.

A gradual move lets you compare the day-to-day experience without making the entire support operation depend on a rushed cutover.

06

Let the support pattern decide.

+

Help Scout deserves consideration when its email-oriented collaboration, Docs and Beacon fit the way your team already works. It also offers a free plan, so Orka is not the only route to trying support software without a paid subscription. Compare the limits and feature access you need, rather than treating every free plan as equivalent.

Orka is appealing when several independent projects should share a small team and a consistent knowledge workflow. Price the actual number of people, inboxes and article sites, then run one handover between colleagues. Our view is that the most useful choice is the workspace the whole team understands on a busy day.

Lower base pricing is valuable when it also leaves you with the channels and routines your customers rely on.

YOUR OWN TRIAL IS THE DECIDING FACTOR

Give it a real Tuesday.

  1. Use your actual portfolio.Connect the sites you support, with different branding and knowledge. Confirm which project a conversation belongs to.
  2. Ask an awkward second question.Follow a routine policy question with an exception. Check what the assistant knows and how a person takes over.
  3. Measure the full bill.Count people, properties, conversations and AI units according to this product’s rules. Include the plan that actually contains the features you need.
  4. Try a handover.Let someone who did not start the conversation pick it up. Check context, notes, access and the number of steps required.
